A local growing Dubuque company is looking to add a Administrative Assistant to their Project Management team. As a Construction Administrative Assistant, you will play a vital role in supporting our construction projects by providing administrative assistance to the project management and field operations teams. You will be responsible for ensuring the smooth flow of administrative processes, maintaining accurate records, and facilitating effective communication among team members and external stakeholders. This is a direct hire opportunity meaning the right fit candidate will go directly onto the hiring company’s payroll and be eligible for their benefits package.
 
What you get to do (in a snap-shot):
  • Assist in the preparation and distribution of project documents, including contracts, proposals, change orders, and meeting minutes. Coordinate communication between project team members, subcontractors, suppliers, and clients.
  • Assist in the preparation of project budgets, expense reports, and financial documentation.
  • Log and file invoices using company accounting software (SAGE 100)
  • Create Pay Request monthly draws and prepare spreadsheets for projects
  • Maintain accurate and up-to-date project files, records, and databases.
 
 
What we’d like you to bring to the opportunity:
  • High school diploma or equivalent; additional education or training in business administration or construction management.
  • Proven experience in an administrative support role with solid work history.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other accounting software applications.
  • Strong organizational skills with the ability to multitask and prioritize tasks effectively.
  • Detail-oriented with a high level of accuracy in data entry and record-keeping.
  • Knowledge of construction terminology, processes, and documentation is a plus.
  • Flexibility to adapt to changing priorities and deadlines in a fast-paced environment.
